Protocol templates for nutrition coaches and dietitians

Write a protocol once and use it for every client who needs it. Save your gut health plan, supplement routine or first-session checklist as a template with the text already in it. Pick it for the next client, change what's different for them, and share it to their app or send it as a branded PDF.

What is a protocol template?

A protocol template is a note you've already written, saved so you can start from it again. It has sections, and each section can have a title, a prompt and starting text. When you pick the template for a client, their note opens with all of that in place.

Most coaches give the same few protocols again and again. A gut health reset, a supplement routine, the advice from a first consultation. Typing it out for every client is slow, and copying it from an old note risks leaving the last client's details in.

Start from the text you already give clients

Add starting text to any section, such as the meal timing you recommend or your usual supplement doses. A template can have up to 30 sections, and each one holds up to 10,000 characters, so a full protocol fits.

Foodzilla also comes with SOAP, ADIME, Initial Consultation and Follow-up Session templates. Use them as they are, or build your own from Manage Templates.

Adjust it for each client

Pick your template when you add a note, then change whatever is different for this client. The changes save to their note only. Your template stays the way you wrote it, ready for the next person.

Turn a good note into a template

Wrote a note you'll want again? Open it, go to Export and reuse and choose Save as template. Foodzilla keeps its sections and their text, so the protocol you refined for one client becomes the starting point for the next.

Share it with your client

Set the note's visibility to Shared and your client can read it in their client portal and in the app. Foodzilla tells them by email and with a notification in their app. They can download it as a PDF, and add a file to it, such as a lab result.

Notes stay private until you share them. If a client shouldn't see notes at all, turn off Notes & Documents in their App Experience settings. They won't see shared notes and won't get a notification.

Send it as a branded PDF

Choose Download PDF and you get the note with your logo and brand colour, who prepared it, who it's for and the date. Print it, attach it to an email or hand it over at the end of a session.

Ways coaches use protocol templates

Any advice you write more than twice is worth a template. Some examples:

  • Gut health protocols, with the foods to add and remove in each phase.
  • Supplement routines, with doses, timing and when to review them.
  • Weight management check-ins, with targets and the habits to work on.
  • Blood sugar and PCOS plans, with meal timing and carb guidance.
  • Sports nutrition plans for training days, rest days and race week.
  • First-session and follow-up notes that cover the same points every time.

How to create a protocol template

  1. Open a client's notes

    On the Clients page, open the menu on a client's card and choose Notes & Files. Then choose Add Note.

  2. Start a new template

    Under Note type, choose Manage Templates, then New Template. Give it a name, like "Gut health, phase 1".

  3. Add your sections

    Add a section for each part of the protocol. Give each one a title, and type the advice you give most clients under Starting text.

  4. Save the template

    Choose Save Template. It now shows under Note type for every client.

  5. Use it for a client

    Add a note, pick your template and change what's different for this client. Set Visibility to Shared to send it to their app, then save the note.
