How do you turn a meal plan into a meal prep plan and grocery list?

In short: Review the meal plan to identify which meals can be cooked ahead, which ingredients can be prepared in advance and which dishes are best made fresh. Calculate the total portions needed, including any planned leftovers, and schedule cooking around appropriate food storage and safety guidance. Then combine ingredients across recipes into one grocery list, ensuring that portions already included in batch recipes aren't counted twice.

Sort the meals by how they keep

A meal plan says what to eat. A prep plan says when to cook it. Go through the week and put every meal into one of three groups.

GroupExamplesWhat to do
Cook aheadChilli, curries, soups, stews, bakes, meatballsCook in batches, cool promptly and portion for refrigeration or freezing
Part-prepGrains, roast vegetables, washed salad, overnight oats, chopped vegetablesPrepare suitable components in advance, store them safely and assemble meals when needed
Cook freshFish, eggs, stir-fries, dressed saladsPrepare close to serving where preferred, with ingredients prepped in advance if appropriate

Some clients prefer one main prep session each week, while others find shorter sessions throughout the week more manageable. Choose an approach that fits the client's schedule, cooking facilities and preferences. If a meal plan requires extensive daily cooking, consider incorporating more batch-friendly dishes or repeating suitable meals. How to create a meal plan for a client covers choosing the structure.

Plan the leftovers, then scale the batch

Cook once, eat twice is the easiest meal prep there is. The batch recipe has to make enough for the first meal and every leftover it's meant to feed.

Total servings to prepare = servings needed for the first meal + servings needed for all planned leftover meals

For example, if two people eat the same dinner on Monday and one person has a portion for lunch on Tuesday and Wednesday, the recipe needs to provide four servings: 2 + 1 + 1 = 4. How to scale a recipe for a household goes through the maths, including what to do when a family eats from the same pot.

Plan when each portion will be eaten and check that it falls within the relevant refrigerated storage period. If a portion won't be eaten within that time, freeze it promptly rather than leaving it in the fridge until later in the week.

Fit the prep days to storage times

Official advice on how long cooked food keeps in the fridge differs between countries, so check the guidance where your client lives.

GuidanceCooked leftovers in the fridgeCooling and refrigeration
Food Standards Agency (UK)Eat within 48 hours or freeze. Refrigerate cooked rice for no more than 24 hoursCool and refrigerate leftovers within 2 hours. Cool cooked rice as quickly as possible, ideally within 1 hour
USDA Food Safety and Inspection Service (US)Most cooked leftovers can be refrigerated for 3 to 4 daysRefrigerate within 2 hours, or within 1 hour when the surrounding temperature exceeds 32°C (90°F)

Under UK guidance, meals prepared on Sunday should generally be eaten within 48 hours or frozen for later use. Portions intended for later in the week can be frozen promptly in labelled containers and defrosted safely before eating. Alternatively, clients can schedule another cooking session during the week. Always follow the relevant local food safety guidance.

Divide large batches into smaller portions and containers to help them cool quickly. Refrigerate or freeze food promptly, keep chilled foods at appropriate temperatures and follow safe defrosting practices. Under UK guidance, reheat leftovers only once and ensure they are steaming hot throughout. Cooked rice requires particular care because harmful bacterial spores may survive cooking. As general food-safety advice, people at greater risk of foodborne illness, including pregnant people, older adults and those with weakened immune systems, may need to take additional precautions.

Build one grocery list for the whole plan

  • Combine the same ingredient. Three recipes requiring 150 g of onion each become one grocery-list entry for 450 g. Check the amount against the sizes or packs available.
  • Count leftovers once. When a batch recipe has already been scaled to cover all planned meals, include its ingredients once rather than adding the leftover portions again.
  • Convert to what the shop sells. Grams of spinach become a bag, millilitres of stock become cubes or a carton, 750 g of mince becomes a 1 kg pack or two 500 g ones. Pack sizes vary, so choose practical quantities that minimise waste.
  • Group by section. Fruit and veg together, meat and fish together, so the shop is one lap of the store.
  • Cross off the cupboard. Oils, spices and staples the client already has shouldn't be on every week's list.
  • Split fresh items. Fish and salad for Thursday may need a second, smaller shop.

If you work on paper, the free grocery list template sets out the sections for you.

How to do it in Foodzilla

Foodzilla plans leftovers inside the planner and builds a combined grocery list from the whole plan. The video turns a five-day plan into a prep plan and a shopping list.

  1. 1Open the plan from Meal Plans. In the Planner, open the menu on a batch recipe and choose Copy as Leftover... (Professional plan and above). For a meal you'll cook fresh again, choose Copy... instead.
  2. 2Set Servings per leftover, select the days to repeat the recipe and the meal types, then press Done. Foodzilla scales the original recipe up to cover every leftover, and the leftover copies are not counted again in the grocery list.
  3. 3Open the Grocery List tab and set the List Settings section before you generate. For a plan with leftovers, Serving Calculation is already on All Servings, with a note that it's recommended, so the batch recipe is bought in full. Choose Most Accurate or Most Convenient quantities, and how Mixed Units show.
  4. 4Press Generate List. Foodzilla combines the same ingredient from different recipes into one line, grouped into sections like Vegetables & Fruit. A combined line shows which items it came from, and Unpack splits it again.
  5. 5When two lines look like the same product, Foodzilla asks whether to Combine them or Keep separate. Then press Export to Download PDF or Copy as text, or turn on Show grocery list when you print the plan as a PDF.

Good to know

  • Write the prep day in the notesAdd a short preparation sequence to the plan's Notes tab, such as 'Sunday: chilli, rice, roast vegetables. Freeze Thursday's chilli.' This gives clients a clear order of tasks to follow.
  • Match leftovers to containersCheck that the client has enough suitable, food-safe containers and freezer space for the portions being prepared. This helps make the meal prep plan practical and ensures food can be stored appropriately.
  • Regenerate after editsGenerating a new grocery list replaces the current one, so make your plan changes first and generate the list last.
