How to use this personal training contract template
This contract template is designed to set clear expectations between a personal trainer and their client before any sessions begin. A signed contract protects both parties by documenting the agreed services, payment terms, and cancellation policy, reducing the likelihood of disputes later.
Print the form and complete it at an initial consultation, or save as a PDF to send digitally. Fill in your business details, session frequency, rate, and any custom terms before sharing with the client. Both parties should sign and receive a copy.
Use the additional terms section to add anything specific to your business, such as terms for online coaching, group training, nutrition coaching add-ons, or gym membership requirements.
What makes a good personal trainer contract
- Be specific about what is included. List every service your client receives so there is no ambiguity about what they are paying for.
- Set a clear cancellation window. 24-48 hours is the industry standard. Make sure clients understand this before signing.
- Define the payment schedule upfront. Specify whether sessions are paid per session, weekly, monthly, or in advance blocks.
- Include a termination clause. Both parties should know how to exit the arrangement professionally if needed.
- Review your contract annually and update it when your prices, services, or business structure change.
- Store contracts securely. Consider a client management platform that keeps contracts alongside session notes and progress records.
Frequently asked questions
What should a personal trainer contract include?
A personal trainer services contract should cover the parties involved, the services being provided (sessions per week, duration, location), fees and payment schedule, a cancellation policy, health and safety acknowledgements, confidentiality terms, and signature fields. The template on this page includes all of these sections.
Is a verbal personal training agreement legally binding?
In many jurisdictions, verbal agreements can be legally binding, but they are extremely difficult to enforce because there is no written record of the agreed terms. A written contract is strongly recommended as it protects both the trainer and the client by documenting exactly what was agreed, reducing the risk of disputes over fees, cancellations, or services.
How many sessions should a personal training contract cover?
This depends on your business model. Some trainers use rolling monthly agreements reviewed each month. Others prefer block bookings of 8, 12, or 20 sessions. Short-term block contracts are easy to administer and motivate clients to commit. For ongoing clients, a rolling monthly agreement with notice period works well. The template on this page can be adapted to either approach.
What cancellation policy is standard for personal trainers?
Most personal trainers require 24-48 hours notice for cancellations without charge. Late cancellations and no-shows are typically charged at the full session rate. Some trainers allow one grace cancellation per block. Whatever policy you choose, make sure it is clearly documented in your contract and explained to clients before they sign.
Do I need a separate contract for online personal training?
For online or remote coaching, you may want to add specific terms about how sessions are delivered (video call, app-based, programme-only), what happens if technology fails, and the jurisdiction that governs the contract (important if you have international clients). The core structure of this template still applies. Adjust the services description and add any relevant online-specific terms in the additional terms section.
