Creating and Sharing Notes & Files

Struggling to organize client notes scattered across Microsoft Word, Google Docs, and physical notepads?

Key Features:

  • Centralized Storage: Keep all client details securely stored, preventing loss of information.
  • File Uploads: Attach files (up to 100MB) directly to client notes for easy access.
  • Privacy by Default: Notes and files are private unless you choose to share them with your clients. For more on sharing, refer to our Sharing Notes section.

How to Add a Note

  1. Go to the Clients page
  2. Open the client’s profile
  3. Click Add Note or open Notes & Files from More option
  4. Choose a note type:

    • Blank Note

    • SOAP

    • ADIME

    • Initial Consultation

    • Follow Up Session

  5. Add a title and note details
  6. Choose the visibility setting
  7. Select the date
  8. Add an attachment if needed
  9. Click Save Note

*Only the title is required. The description, date, and attachment are optional.


Note Visibility

  • Private: Only you and your team members can view the note.
  • Shared: The client can also access the note.

Attachments

You can attach supported files directly to a note, including:

• PDF

• DOC

• DOCX

• TXT

• JPEG

• PNG


Viewing and Managing Notes

  • Saved notes and files appear in the client’s Notes & Files section.
  • You can open a note to review it, make changes, update its visibility, replace the attachment, or delete it.
  • Deleting a note will also remove its attached file.

Sharing Notes With Clients

  • Set the note visibility to Shared when creating or editing the note.
  • Shared notes are available to the client through their Foodzilla mobile app and web portal.
  • Use shared notes for information such as consultation summaries, recommendations, reminders, dietary guidance, or next steps.
  • Clients can also create their own private notes within the mobile app or web portal.
