How to Create and Send Client Invoices in Foodzilla

Foodzilla lets you create, send, track, and manage client invoices directly from your practice dashboard.

You can invoice an existing client or someone who does not yet have a Foodzilla account, accept card payments through Stripe, download invoice PDFs, track payment status, and send automatic overdue reminders.

The invoicing feature is available on the Professional Plan and above.


Create a New Invoice

You can create an invoice from the main Invoices page or directly from a client profile.

From the main menu:

  1. Go to Invoices.
  2. Click New Invoice.
  3. Choose who you want to bill:

    Existing client to select someone already in Foodzilla

    Someone else to invoice a person who does not have a Foodzilla account

  4. Select the invoice currency.
  5. Confirm the issue date and invoice number.
  6. Add your line items, quantities, and rates.
  7. Add any applicable tax, discount, due date, payment instructions, notes, and business details.
  8. Click Save Draft if you want to finish it later, or Save & Send when it is ready.

When invoicing someone who is not already a client, enter their name and email address. They can receive the invoice and payment link by email without needing a Foodzilla account.


Create an Invoice from a Client Profile

You can also raise an invoice while working with a client.

Open the client profile, click More, then select Invoices.

The client will already be selected when the new invoice opens, helping you create the invoice without leaving their workflow.


Add Services from Packages or Bookings

When creating an invoice, you can add line items manually or use:

Insert from packages to pull services from your existing packages.

Insert from bookings to add services from your booking types.

This can save time when invoicing for consultations, meal planning services, coaching packages, or other services you already have set up in Foodzilla.


Set Up Your Invoice Settings

Go to Invoices > Settings to configure the information that should appear on new invoices.

You can set your:

• Business name

• ABN, NZBN, VAT number, or other business number

• Business address

• Tax label and tax rate

• Payment instructions

• Stripe account for card payments

Your payment instructions can include details such as your bank account, payment reference, or payment terms.

Changes to invoice settings apply to new invoices. Existing drafts keep the settings they were created with.


Accept Card Payments with Stripe

Connect your Stripe account in Invoice Settings if you want clients to pay invoices by card.

When a client pays through the payment link, the funds go directly to your connected Stripe account and the invoice can automatically update to Paid.

You can also include manual payment instructions if you accept other payment methods, such as bank transfer.


Supported Invoice Currencies

You can select the currency for each invoice.

Available currencies include options such as USD, NZD, AUD, GBP, CAD, MXN, and EUR.


Automatic Overdue Invoice Reminders

You can add a due date to an invoice.

Once the invoice becomes overdue, Foodzilla can send the client a weekly reminder email, up to 3 reminders.

If you do not set a due date, automatic overdue reminders are not sent.


How Clients Receive and Pay Their Invoice

Each invoice opens on a branded payment page with no login required, making it easy for clients to review and pay.

Invoices can be accessed through:

Email

Client Portal

Foodzilla mobile app

Clients can also view their invoice history, pay any outstanding invoices, and access receipts whenever they need them.


Track Invoice Status and Payments

The Invoices page gives you an overview of your billing activity, including:

Outstanding invoices awaiting payment

Paid this month invoices that have been settled

Void invoices that have been cancelled

You can also filter invoices by status and search by invoice number, client name, or email address.

Inside an individual invoice, you can see its timeline, including when it was:

• Created

• Sent

• Viewed by the client

• Paid or still awaiting payment


Manage a Sent Invoice

Open an invoice to access additional actions.

You can:

Resend the invoice

Copy Payment Link

Download PDF

Mark as Paid for payments received outside the online payment flow

Void the invoice

• Turn automatic reminders on or off

This gives you one place to manage the invoice from creation through to payment.
